Context & Mission

Within this context, the Medical Department Support Officer plays a vital role in assisting the Medical Director and Deputy Medical Director in ensuring the efficient and effective functioning of the Medical Department. This position contributes to the coordination of activities, structuring and management of information, and follow-up on administrative and transversal processes.

The role supports planning and strategic processes, facilitates internal coordination, and ensures that relevant information is accurately collected, structured, and accessible. By doing so, it enables the Medical Department to achieve its operational and strategic medical objectives.

The position operates at the intersection of multiple functions and necessitates close collaboration with various stakeholders, ensuring smooth workflows, consistency of information, and reliable support for decision-making processes across the department.

Tasks & Responsibilities

  • Planning, Coordination, and Departmental Support:
    • Participate in the development, consolidation, and follow-up of annual and multi-year medical plans, ensuring document alignment.
    • Prepare presentations, reports, briefing notes, and synthesis documents to support decision-making and communication.
    • Organize departmental and intersectional meetings, ensuring proper agenda preparation, documentation, and minutes tracking.
    • Coordinate workshops, seminars, and strategic meetings, ensuring logistical readiness.
    • Ensuring proper functioning of transversal platforms addressing medical, operational, and strategic topics.
  • Information and Medical Knowledge Management:
    • Coordinate the systematic collection and organization of medical advisors’ project visit reports.
    • Oversee the annual medical reporting process, ensuring quality control and structured content.
    • Maintain and update shared repositories, databases, and tools related to medical priorities and activities.
    • Organize briefings and debriefings for field medical staff to ensure proper information flow.
    • Support onboarding processes of new staff from an administrative and coordination standpoint.
  • Transversal Projects and Analysis:
    • Follow up on transversal projects and initiatives as directed by medical leadership.
    • Collect, analyze, and synthesize data related to medical activities and operational trends.
    • Prepare analytical outputs to facilitate strategic decision-making.
    • Contribute to tool development supporting medical strategies.
  • Human Resources – Administrative Support:
    • Coordinate HR administrative processes within the Medical Department.
    • Liaise with HR on job advertisement processes and candidate selection.
    • Manage staff absences, leave requests, and administrative tasks.
    • Oversee validation of absence records, expenses, and compliance with internal procedures.
  • Finance and Budget Follow-up:
    • Assist in budget preparation and monitoring for the Medical Department.
    • Track budget consumption and identify potential risks.
    • Control and validate invoices and expenses related to departmental activities.
  • Learning, Events, and External Liaison:
    • Act as the focal point for medical conferences, seminars, and learning events.
    • Liaise with internal departments and external stakeholders as necessary.
    • Support collaboration on medical induction processes and training activities.

Your Profile

  • Education:
    • Commercial Employee Certificate (“CFC”), Executive Assistant Certificate, or equivalent, along with relevant professional experience.
    • A university degree in Public Health, Health Sciences, International Relations, Humanitarian Studies, or a related field is advantageous.
  • Experience:
    • Experience in coordination or senior administrative roles in complex environments.
    • Experience in information management and project coordination.
    • Experience in multicultural environments.
    • Previous experience with MSF or a similar humanitarian organization is a plus.
  • Languages:
    • Fluency in English and French (oral and written) is mandatory.
    • Additional languages are considered an asset.
  • Skills/Technical Competencies:
    • Strong organizational, planning, and prioritization skills.
    • Analytical capacity and ability to synthesize complex information.
    • Proficiency with standard IT tools, including Word, Excel, PowerPoint, Outlook, and SharePoint.
    • Good understanding of the humanitarian context is an asset.
  • Behavioural & Managerial Competencies:
    • Ability to coordinate across multiple stakeholders and functions.
    • Excellent written and verbal communication skills.
    • Proactive, reliable, and solution-oriented mindset.
    • Ability to work independently while contributing effectively to team dynamics.

Terms of Employment

  • Full-time position (100%, 40h/week)
  • Open-ended contract
  • Location: Geneva, Switzerland
  • Ideal start date: September 1st, 2026
  • Paid vacation: 25 days per year, prorated, plus Swiss public holidays
  • Pension plan: pension contributions covered 3/4 by MSF, 1/4 by the staff member
  • Relocation support available for eligible candidates
