Executive Assistant (m/f/d)

Our long-term client is a renowned pharmaceutical company located in the Fricktal region. To support the existing team, we are looking to hire an Executive Assistant (m/f/d) immediately or by agreement.

Tasks & Responsibilities:

  • Organize and maintain the manager's agenda: Schedule, change, coordinate, and prepare all appointments; provide all necessary information to participants.
  • Arrange and assist in organizing departmental meetings and participate in global events.
  • Manage all incoming and outgoing correspondence, including emails:
    • Screen, prioritize, and add relevant information to prepare handling by the manager.
    • Distribute and file all relevant documents and information.
    • Ensure follow-ups and check deadlines.
  • Handle telephone calls and requests.
  • Provide administrative support:
    • Coordinate the manager's workflow and maintain efficient office systems for handling documents (both paper and digital).
    • Compose correspondence and reports for the manager’s signature.
    • Prepare and finalize presentations in PowerPoint.
    • Update and track delegated tasks to ensure progress meets deadlines.
    • Provide backup for other administrative personnel.
    • Support the B&C global team with administrative tasks.
    • Organize new employee onboarding and training.
    • Create purchase orders and ensure timely payment.
    • Provide facility services.
    • Arrange travel and accommodation.
    • Facilitate office arrangements.

Must Haves:

  • Educational level: Vocational education.
  • Excellent communication skills, both written and verbal, in English and German.
  • Strong interpersonal skills.
  • A proactive "can do" attitude.
  • At least 5 years of experience as an assistant in a business context.
  • Proficiency in MS Office (Word, Excel, PowerPoint, and Outlook).
  • Familiarity with SAP (SuccessFactors).
