Job Purpose
To manage the School’s reception area and provide administrative support to the Office of Philanthropy & Community Engagement. The Community Services Officer is a key member of the Philanthropy & Community Engagement (PCE) team, dedicated to engaging Aiglon students, alumni, parents, and friends to cultivate lifelong relationships that encourage volunteer participation, goodwill, and philanthropic support.
Key Responsibilities
The duties of the Administrative Officer encompass a variety of areas, primarily focusing on the following:
1. Front Office Support
The Administrative Officer serves as the central point of contact for the school and the PCE Office, delivering exceptional service via email, phone, and in-person interactions. Responsibilities include:
- Managing the school’s incoming and outgoing mail and package deliveries.
- Welcoming, directing, and announcing visitors at the front desk.
- Providing campus tours for visiting alumni and facilitating meetings with parents, faculty, and staff.
- Offering operational support for various school systems.
2. Administrative Tasks
In addition to front office duties, the Administrative Officer coordinates administrative tasks efficiently for the school and the Philanthropy & Community Engagement Office. Responsibilities include:
- Collaborating with the finance office to ensure postal and customs charges are billed appropriately.
- Updating school databases and forwarding mail.
- Preparing school-wide mailings and executing various other administrative tasks.
3. Operational Support
This role also involves managing key functional aspects of the school’s operations, such as:
- Overseeing the minibus reservation system and ski pass forecasting.
- Ordering and distributing supplies for students and select staff.
- Processing confidential exam papers.
Other Responsibilities
- Contributing to special projects as directed by the Director of Philanthropy & Community Engagement.
- Being adaptable to undertake additional duties aligning with key responsibilities.
- Committing to ongoing professional development and engaging actively in school life and activities.
- Upholding the ethos and values of Aiglon, acting with integrity, and handling school-related matters with the utmost confidentiality.
Person Specification
The qualifications, experience, and attributes required for the post holder include:
A. Education, Qualifications and Languages
- Essential: Proficient in English; Hospitality School Student or at least 3 years of experience in a similar role.
- Desirable: Proficiency in additional languages.
B. Experience and Knowledge
- Essential: Fluent in English (verbal and written), working knowledge of French, competency in Google Suite, and strong computer skills.
- Desirable: Evidence of hospitality training.
C. Personal Qualities, Attitudes and Behaviors
- Essential:
- Outstanding interpersonal skills, including excellent phone etiquette and personal presentation.
- Ability to build professional relationships while adhering to Aiglon’s safeguarding policies.
- Willingness to familiarize oneself with school databases as needed.
- Able to perform under pressure while following established policies and procedures.
- Hospitable and discreet; capable of managing sensitive information appropriately.
