Administration and HR Assistant 80-100% (m/f/d)
Our customer is a privately-owned biotech firm founded in 2012 and based in Basel, Switzerland. In December 2020, it was acquired by a privately-held pharmaceutical company headquartered in Germany. The company is dedicated to developing best-in-class oncology treatments aimed at increasing survival and improving the quality of life for cancer patients worldwide. To support a young and dynamic team, we are looking for a candidate to start immediately.
Your Tasks and Requirements
Administration
- Organizing and scheduling appointments: Manage calendars, set up and organize meetings (including preparing meeting rooms, catering arrangements, and welcoming guests), and coordinate appointments for team members or executives.
- Handling office communications: Manage company phone lines, intercoms, and information mailboxes (answer phone calls, respond to emails, direct inquiries to the appropriate personnel), and scan invoices for the relevant accounting personnel.
- Data entry and reporting: Enter data into various systems, generate reports, and maintain accurate records (e.g., time tracking, absences, vacation, routine deliveries, travel reimbursements, facility security system, badge access system, etc.).
- Office supply management: Order, stock, and oversee office and cafeteria supplies.
- Event coordination: Support planning and organization of company events, meetings, and conferences, including logistics arrangements, invitation distribution, and vendor coordination.
- Travel arrangements: Organize travel accommodations and transportation, as well as internal and external meetings for stakeholders.
- General office support: Create, maintain, and update physical and electronic files and records while providing support to team members (e.g., scanning, photocopying, and filing documents as needed).
Human Resources
Knowledge and experience in HR processes are required to support:
- Hiring processes: Assist with recruitment, onboarding, and training processes.
- Maintenance of employee records: Keep contracts, work permits, and information from various insurances up to date (e.g., Ausgleichkasse, Accident insurance, Pension Fund, etc.).
- Reports: Generate internal and external statistics (e.g., FTEs, vacation, absences, accidents, etc.).
