Administration and HR Assistant 80-100% (m/f/d)

Our client is a privately-owned biotech firm founded in 2012 and based in Basel, Switzerland. In December 2020, it was acquired by a privately-held pharmaceutical company headquartered in Germany. The company is devoted to developing best-in-class oncology treatments aimed at enhancing the survival and quality of life for cancer patients worldwide. We are currently seeking a dedicated individual to support our young and dynamic team, with an immediate start date.

Your Tasks and Requirements:

Administration

  • Organizing and Scheduling Appointments: Manage calendars, set up and organize meetings (including preparing meeting rooms, catering, and welcoming guests), and coordinate appointments for team members or executives.
  • Handling Office Communications: Manage company phone lines, intercom, and information mailboxes by answering calls, responding to emails, directing inquiries to the appropriate personnel, and scanning invoices for accounting.
  • Data Entry and Reporting: Enter data into various systems, generate reports, and maintain accurate records (e.g., time tracking, routine deliveries, travel reimbursements, and security systems).
  • Office Supply Management: Order, stock, and maintain an overview of office and cafeteria supplies.
  • Event Coordination: Assist in planning and organizing company events, meetings, and conferences, including logistics, invitations, and vendor coordination.
  • Travel Arrangements: Organize travel arrangements (e.g., accommodation, transportation) and internal/external meetings for stakeholders.
  • General Office Support: Create, maintain, and update both physical and electronic files and records. Provide support to other team members, including scanning, photocopying, and filing documents as needed.

Human Resources

Knowledge and/or experience in HR processes is required. Responsibilities include:

  • Hiring Processes: Assist with recruitment, onboarding, and training processes.
  • Maintenance of Employee Records: Ensure updated contracts, work permits, and information from various insurances (e.g., Ausgleichkasse, Accident insurance, Pension Fund).
  • Reports: Compile internal/external statistics (e.g., FTEs, vacation, absences, accidents).
